SLSP from receipt photos, with a free AI.

Gemini, Grok or ChatGPT does the reading. ClockIN does the checking and the files.

A Summary List of Sales and Purchases is a quarter of receipts turned into rows: supplier, TIN, address, amount, VAT. A free AI is good at the reading. It is not good at being right every time, so the checking has to be ours.

The method

  1. Photograph the receipts and invoices of the quarter, flat and in good light.
  2. Paste the prompt into a free AI and attach the photos. A few dozen at a time works best.
  3. Copy the table it returns and check it.
  4. Make the files: two DAT files for RELIEF (purchases and sales) and an Excel that shows every receipt behind them.

The prompt

You are helping me prepare my BIR Summary List of Sales and Purchases. I will attach photos of receipts and invoices. For EACH receipt, read ONLY what is printed on it. Do not guess. If something is not printed or you cannot read it, leave it empty. Return ONE CSV table, nothing else, with exactly this header: type,date,name,tin,address,receipt_no,total,vat,vat_exempt,zero_rated,kind Rules: - type: "purchase" if I paid the seller, "sale" if it is my own invoice to a customer. - date: YYYY-MM-DD. - name: the seller's (or customer's) registered business name as printed. - tin: the TIN as printed, digits only, keep all digits (e.g. 000123456000). - address: the seller's (or customer's) address as printed. - total: the total amount paid, number only, no peso sign, no commas. - vat: the VAT amount printed on the receipt (the "VAT 12%" line). 0 if none printed. - vat_exempt: the VAT-exempt amount printed, else 0. - zero_rated: the zero-rated amount printed, else 0. - kind: "goods", "services" or "capital" (capital = equipment that lasts more than a year). - One row per receipt. Use a period for decimals. After the table, list any receipt you could not read clearly.

What we check on every line

  • A TIN that is not nine digits, or is all zeros.
  • VAT that is more than 12% could be, which usually means a misread digit.
  • The same receipt twice: the same TIN and receipt number, or the same TIN, date and amount.
  • One supplier name with TINs a digit or two apart.
  • Dates outside the quarter.
  • Salary and contribution lines, which are not purchases.
  • Names and addresses cleaned to the RELIEF character rules.

Why not just trust the AI?

Because one wrong digit in a TIN is a rejected line, and a rejected line is found at the worst time. The AI saves hours of typing; the checker saves the hour of hunting for the one line that is wrong.

Your photos stay yours. The photos go to the AI tool you choose, under its own terms. ClockIN only receives the table you paste back.

Questions

Which AI works best?

Any of the free ones that can read photos. Try two on the same batch if you are unsure, and compare the totals.

Does ClockIN keep my receipts?

No. It keeps the table you paste, for that quarter, so you can come back to it.

Skip the hard part

Photograph the papers. ClockIN checks every line and makes the files.
