Excel to BIR DAT file. The short way.

Your list is already in Excel. Here is how it becomes the files RELIEF takes in.

The Summary List of Sales and Purchases (SLSP) goes to the BIR as DAT files. If your purchases and sales are already in a spreadsheet, you do not need to type them into RELIEF again.

Four steps

  1. Lay your list out in these columns. One row per receipt or invoice. Download the Excel template or the CSV.
  2. Save it as CSV (Save As, CSV UTF-8).
  3. Choose the CSV in ClockIN, on the File BIR page, SLSP / RELIEF DAT. Every line is checked.
  4. Make the files. You get the purchases DAT, the sales DAT, and an Excel showing every receipt behind them.
ColumnWhat goes in it
typepurchase if you paid the seller, sale if it is your own invoice
dateYYYY-MM-DD
nameThe registered name of the supplier or customer
tinTheir TIN, all digits
addressTheir address as printed
receipt_noThe receipt or invoice number
totalThe total amount, numbers only
vatThe VAT printed, 0 if none
vat_exempt, zero_ratedThose amounts if printed, else 0
kindgoods, services or capital

What is done for you

  • Names and addresses are cleaned to the RELIEF character rules.
  • One line per supplier or customer for the quarter, with the totals added up.
  • TINs of nine digits, header and file names written the way RELIEF expects.
  • Every line that cannot be right is listed, with the reason: no TIN, VAT too high, the same receipt twice, a date outside the quarter.
No spreadsheet yet? Photograph the receipts and let a free AI fill the same columns. That guide has the prompt.

Only some DAT files so far

ClockIN writes the RELIEF purchases and sales DAT files, which have passed the BIR’s validation for us. For SAWT and the 1604-C alphalist it prepares and checks the data and makes the Excel; their DAT layouts will be added once a file has passed the BIR’s validator.

Questions

Do I need to install anything?

No. It runs in your browser. The BIR’s own RELIEF validation module is still what you use to test the finished files.

Is my spreadsheet uploaded?

The checker on this site reads files in your browser and sends nothing. In ClockIN the list you check is kept for that quarter, in your own account, so you can come back to it.

My Excel has more columns.

Keep only these columns, in this order, or paste just those into the template.

Skip the hard part

Photograph the papers. ClockIN checks every line and makes the files.

Made by ClockIN, by Strong Media Corp, Metro Manila. ClockIN is not BIR-accredited. Test every file in the BIR’s own validation module before you submit it; the filing stays with you and your accountant. Rules and rates change, so confirm against the BIR’s current issuances.
