Terms of Service

The short version
- Every event is free for up to 15 guests, with no time limit. You pay only to unlock a bigger event, one event at a time.
- An unlock is refunded in full if you ask before any invitation for that event has been sent.
- The guest list is yours. You must have a proper reason to invite the people on it, and we use it only to run your event.
- Keep a printed check-in list as a backup. We work hard to keep the service running, but no online service can promise it never stops.
1. Who these terms are between
These terms are an agreement between you and Strong Media Corp (SEC Registration No. CS200321866), Marikina City, Metro Manila, Philippines (“we”, “us”). They cover EventScan Pro, our event invitation, RSVP and QR check-in service (“the service”). By creating an account or using the service you accept them. If you use it for a company, you confirm you are allowed to accept them for that company.
2. Your account
- You must be 18 or over and give us a real email address, because that is where your access code, receipts and your guests' replies go.
- Your access code signs you in. Keep it private: anyone who has it can manage your events. Tell us straight away if you think someone else has it and we will issue a new one.
- You are responsible for what happens under your account, including what your staff do with scanner links you share.
3. The free plan
Every event you create is free for up to 15 guests, and you can create as many events as you like. There is no trial period and nothing expires. Free events carry the Strong Media Corp name on the invitation, the guest pass and the report. We may change what the free plan includes in future, and will announce it on our website before the change takes effect; events you have already run are not affected.
4. Paying for an event
- You unlock one event at a time, by guest count, at the prices shown on our pricing page when you pay. Prices are in Philippine pesos.
- You can pay by card or GCash through PayMongo, which unlocks the event straight away, or by bank transfer, which unlocks it once we have confirmed the payment.
- Unlocking removes our name from that event, lifts its guest limit to the tier you bought, and lets your team share the door scanner.
- Prepaid event credits, where we have sold them, each unlock one event.
- On-site registration staff and equipment are quoted separately and are not covered by these online prices.
- If you sell tickets to your own event, your guests pay you directly through your own GCash, bank or payment link. We take no share of those sales and we are not a party to them.
5. Refunds
If you ask for a refund before any invitation or pass for that event has been sent, we refund the unlock in full. Once invitations have gone out the unlock has been used and is not refundable — unless the service failed on our side and we could not fix it in time for your event, in which case we refund it. 6. Using the service properly
You agree not to:
- send invitations to people you have no genuine reason to contact, use the service for marketing blasts, or send anything that is unlawful, misleading or abusive;
- upload personal data you have no right to use;
- try to get into data or accounts that are not yours, or get around the limits, payments or security of the service;
- overload the service or resell it without our written agreement.
If an account breaks these rules, or its mail is reported as spam, we may limit its sending or suspend it. Where we can, we will tell you first and give you the chance to put it right.
7. Email delivery
We send your invitations and passes from our own mail server, carrying your event's name, and your guests' replies go to your account email. We follow good sending practice and limit how much any one account can send in a day, but we cannot control whether a guest's email provider puts a message in their inbox, their spam folder, or refuses it. Ask guests to check their spam folder, and use the in-app resend and search-by-name check-in for anyone who cannot find their pass.
8. Guest data: your responsibilities and ours
Under the Data Privacy Act of 2012, for your guests' personal data you are the personal information controller and we are your personal information processor. This section is the agreement between us for that processing.
You are responsible for:
- having a lawful basis for collecting your guests' details and inviting them, and telling them what you will use their details for;
- the accuracy of the guest list you upload;
- answering your guests' requests about their data, with our help where you need it.
We will:
- use guest data only to run your event as you instruct through the service, and never for our own marketing, and never sell it;
- make sure everyone at Strong Media Corp who can reach it is bound to keep it confidential;
- protect it with the measures described in our Privacy Policy;
- use only the service providers named in our Privacy Policy, and tell you before we add a new one that would handle guest data;
- help you answer your guests' requests to access, correct or delete their data;
- tell you without undue delay if we learn of a breach affecting your guests' data, and help you meet your duties to notify;
- delete your event's guest data when you delete the event, and all of your data when you close your account;
- give you the information you reasonably need to show you are meeting your own obligations.
9. Availability
We work hard to keep the service running and to fix problems quickly, but it runs over the internet and on services provided by others, so we cannot promise it will always be available or free of errors. The door scanner keeps working through short internet drops and syncs afterwards. For anything that matters, print the check-in list before your event as a backup — the app makes one for you.
10. Our liability
Nothing in these terms limits a liability that Philippine law does not allow us to limit. Otherwise, we are not liable for indirect or consequential loss, such as lost profits or a lost opportunity, and our total liability for anything to do with an event is limited to the amount you paid us to unlock that event. For free events, we provide the service as it is.
11. Ending the agreement
You can stop using the service at any time, and ask us to close your account, which deletes all of your events and guest data. We may close an account that seriously or repeatedly breaks these terms. Money paid for an event that has already run is not refunded when an account closes.
12. Changes to these terms
We may update these terms. We will change the date at the top, and if a change materially affects you we will email you before it takes effect. The terms in force when you unlock an event apply to that event.
13. Law and disputes
These terms are governed by the laws of the Republic of the Philippines. We will always try to settle a disagreement by talking first; if that fails, the courts of Marikina City will have jurisdiction.
